When the workflow status is changed to a status other than published, the webhook feature sends the following payload, which does not have the article ID in it. This is inconvenient because there are times when I want to use the article ID, for example, when I change the status to review status and send review request to our slack message. When changing an article’s workflow status, users can add a comment and mention assignees using @mentions. However, this comment is not visible in email notifications sent for the workflow change. Requesting an enhancement to include the workflow status update comment in the workflow change email notification, so assigned users and stakeholders have an improved visibility of the comments.

We would like an option in the Workflow Status designer to limit edit privileges to certain team account groups or content roles. For example, if we create a "Tech Writer Review" workflow status, we'd like an option to limit any article with that status so that only someone with the Tech Writer content role can edit it. The option could state "Only the following content roles/team account groups can edit in this phase:" with a dropdown box containing all the available content roles and team account groups.

While we can create a workflow for articles from Draft to Published, we would also like to continue the workflow or create a new workflow for after articles are published. For example, 1 month after an article is published, we would like to receive a notification about comments, likes, and dislikes from an article. From there, we will determine if the article needs to be edited, what changes need to be made to the article, and who should make those changes. From there, changes could be made, and Version 2 of article(s) can be published.

To ensure high quality articles before publishing we like to have more than one person check the article, currently only one person can be assigned in a workflow so we would like multiple people at this stage. We would like to have a state for there review as well so we can track who completed the review.

When setting up workflow statuses it would be great if we could add some more possibilities in the settings. You should still be able to make changes manually when changing the status but it should start on a certain value by default. The most important being that we would like to be able to set a standard assignee for specific statuses. As an example, we have a Ready to Publish status (waiting on other content to be finished) which should always be assigned to one employee. Now if we change the status we need to manually select this employee and it would definitely save some time if we could add this in the settings. Also, a standard due date (say 7 days in the future after status change) would be great as well. Thanks in advance! Cheers, Tim

We often have multiple reviewers within a review. It would be nice if everyone that was tagged as reviewer could finish the review by pressing a button. Also it would be nice if this information would be visible to the writer so he/she knows who has done it and who needs to reminded of the task. Cherry on top would be if the workflow would then automatically move to the next step. In general it is a request for a bit more automation of the workflow.

When in workflow assignments, it would be useful to be able to filter by 'un-assigned' so that you can focus on the ones that still need to be assigned.

As we have a dedicated reviewer role, there is no centralised place to see the Analytics like Approved workflow, assigned Workflow and all the essential analytics of a reviewer in a centralized place.

Please display the exact date instead of "published X days/months ago" to improve clarity and eliminate the need for manual calculation. Design Input: Show Date & Name on hover tooltip. (Deepak, 21/2/25)
